What you need to know about dependent care FSA reimbursement

 A dependent care flexible spending account (DCFSA) is a smart way to save on eligible child and dependent care expenses using pretax dollars. But to make the most of it, you need to know how to use it, especially when it comes to submitting claims. 

With a DCFSA, you typically pay for services out of pocket, then file a claim to get reimbursed. This involves: 

  • Knowing what expenses are eligible: Expenses like daycare, preschool and after-school programs typically qualify.
  • Gathering the right documents: You need itemized receipts or provider statements that include specific information.
  • Submitting claims correctly: Be sure to enter all requested information and/or upload documents directly.
  • Staying on top of your claims: You can check on your claim status online and sign up for alerts in case additional action is needed.

Filing a dependent care FSA claim is easy

To get started, sign in to your account, then navigate to the claims section. Select the “reimburse myself” button, then fill in the requested information. If you want to file by mail, you can. Simply download the form you need, then fill it out and mail it.  

Avoid DCFSA reimbursement delays by providing correct information 

Providing all required details is the best way to get your claim approved and paid faster. It must include:

  1. Name of the service provider
  2. Name of the person who received the item/service
  3. Description of service
  4. Date of service (not the date payment was made)
  5. Amount charged (not amount paid) 

Once you’ve entered all requested information and/or documentation, review your claim carefully, then submit it for reimbursement. To track the status of your DCFSA claim, sign in to your account. Once your claim is approved, you’ll get funds fast — typically 2 to 4 days for direct deposit and 7 to 10 days for a paper check. 

Pay providers directly and skip the DCFSA reimbursement process 

If you prefer, you can skip the reimbursement process. Simply use your DCFSA payment card to pay for eligible services quickly and securely online. Just be sure to save your receipts in case documentation is requested.

Check your account balance and manage your payment card

Wondering how much is in your DCFSA? Just sign in to your account using your computer or the Optum Bank app to see available funds. You can also:

  • Activate or replace your DCFSA payment card.
  • Report a lost or stolen card.
  • Track where and how your card has been used.
  • Access tools and educational resources.

Common questions about DCFSAs

If a claim is more than the balance in your DCFSA, your plan administrator may reimburse you up to the amount in your account at the time. The amount that exceeds your balance will be placed in a pending status. New contributions to your DCFSA will be used to cover the remaining amount.

You’ll be notified either way. Also, you can check the status of your claim by signing in to your account. If your claim is denied, you’ll get a notice that explains why it was denied. You can resubmit your claim once you have correct information or documentation.

Because your DCFSA is tied to your employer, changes may affect your contributions and claims. Check with your HR department or benefits team for details.
